Commission Management

The command center for every project. Learn how to track progress, chat with clients, and get paid.


The Interface

Click on any card in your Kanban board to open the Commission Detail View. This page is divided into two main areas:

  • Left Column (Workflow): Focuses on the work itself—status tracking, task lists, file uploads, and activity logs.
  • Right Column (Communication & Admin): Focuses on the client—chat messages, invoices, and project settings.

Workflow Management

Status Toggles & Progress Tracker

At the top left, you will see a vertical timeline of the commission's lifecycle steps (e.g., Requested → Accepted → Paid → Completed). The current stage is highlighted.

  • Manual Updates: You can generally move a commission forward by clicking buttons in the "Commission Manager" panel just below the tracker.
  • Automated Updates: Some actions happen automatically. For example, when a client pays an invoice, the status may jump to "PAID" automatically.

Requesting Additional Info

Sometimes you need more details from the client after the project starts.

  • How to Ask: Click + Request Additional Info in the commission manager panel.
  • Templates: You can save common questions (like "Reference Sheet") to a quick list for one-click re-use.
  • Client View: The request appears on the client's dashboard as a pending form field they must fill out.

Editing Price & Items

Project scopes change. You can adjust the final price at any time.

  • Custom Items: Click + Add Custom Item to add manual charges (e.g., "Rush Fee"). These are separate from the initial add-ons.
  • Manual Override: You can also simply type a new total number in the Price ($) box if you want to set a flat rate.

Tasks & Files

  • Tasks: Create to-do lists for your process. Save lists as Templates to load them instantly on future commissions.
  • Files: Drag and drop deliverables. Files are instantly shared with the client.

Right Column: Communication & Admin

Chat & Messages

The **Chat Box** provides realtime messaging. All messages are saved permanently. Email notifications are sent to the client when you reply.

Invoicing

Need to charge for an extra complication? Use the Invoices panel.

  1. Click + Create Invoice.
  2. Enter the amount and description.
  3. The client receives a "Pay Now" link.

Project Management Panel

Located at the bottom of the right column, this panel controls internal project data:

  • Project ID: A manual field for your own record keeping (e.g. "C-2024-05").
  • Priority: Set from Low to Urgent. Urgent items may be highlighted on your board.
  • Estimated Completion: Set a target date.
  • Tags: Add or remove colored labels (e.g. "Sketch", "Commercial").
  • Commercial Use 💼: Toggle this to properly flag the commission as a commercial project.
  • Private 🔒: Toggle this to hide the commission details (images, title) from your public queue.

Activity & History

At the bottom of the page, the Activity History logs every major event: moving cards, payments received, files uploaded, etc.
